Membership & Education Coordinator

Membership & Education Coordinator

Under the supervision of the Director of Strategic Development, the Membership & Communications Coordinator is responsible for membership and donation processing, data entry, gift acknowledgements, member perks, and sending renewal, appeals and other campaigns, and special event support. The Coordinator also develops and broadens existing and new audiences by promoting programs and activities and disbursing engaging content through email, website, social media and print communications.

Hours: 30-40 hours per week (full-time)

Rate Range: $21 - $25 per hour (non-exempt)

Schedule: Monday through Friday, between the hours of 8 am and 5 pm, with occasional weekend and evening hours expected.

Job Duties: Duties may include but are not limited to:

Membership (15-25 hours/week)

  • Ensures the proper receipt and processing of memberships, donations, donor database entry, and the audit trail on all donation receipts

  • Ensures ongoing donation recognition by sending timely thank you letters, member parking passes, and County annual park passes, and any requested benefits

  • Prepares and sends annual membership renewals every month

  • Tracks unsuccessful payments from monthly donor members and calls to assist with payment updates

  • Pulls data from the Donor Perfect database for communications and reports

  • Tracks and thanks Facebook donors and fundraisers

  • Assists with monthly donation reconciliations

  • Keeps record of thank you letters sent and updates letter templates in Donor Perfect as needed

  • Assists with planning events/fundraisers, including Big Day of Giving and Giving Tuesday, Gala, Fall and Spring Appeals/ Fundraisers, and Annual Meetings

  • Assists with planning Appreciation events including Donor Appreciation, Member Appreciation, and the Annual meeting

  • Records all communications (phone, email, mail, in person) with donors and members in Donor Perfect

  • Prepares Donor Perfect queries, lists, and reports for the Director as requested

  • Works collaboratively with the Volunteer Coordinator in training and supervising volunteers and interns

  • Maintains digital and paper files

  • Supports donor cultivation through phone calls, emails, social media, and special events

  • Produces and mails semi-annual fund appeal mailings and other fund appeals, as needed

  • Provides the Director of Strategic Planning with monthly reports and updates on fundraising, and additional details as requested

  • Supports general operations and departmental activities as needed or requested

Communications (15-20 hours/week)

  • Manages website content and digital correspondence

  • Maintains search engine optimizations and ensures domains remain current

  • Coordinates with staff to create emails, website updates, flyers, and social media posts to promote programs, people, animals, partnerships, products, services, and seasonal natural wonders visitors may encounter

  • Manages communications/marketing calendar and ensures all social media, and print and email campaigns are drafted, reviewed, and delivered in a timely manner

  • Manages contact lists in email marketing software and reviews unsubscribes for members and donors

  • Creates and sends surveys as requested and analyzes and reports on results

  • Develops the Annual Report and distributes to donors, members and stakeholders

  • Attends publications and communications working group meetings
     

Miscellaneous

  • Assists with special events and occasional weekend and evening programs as needed

  • Other Duties as assigned


Job Skills and Experience:

  • Completion of a Bachelor’s degree in Art, Marketing, Communications or other business-related field, or a Bachelor’s degree in science from an accredited college or university in an applicable field and experience working in a fundraising position for a nonprofit organization, OR Two+ years of experience in a full-time fundraising position for nonprofit organization

  • Experience using Donor Perfect, Raisers Edge, eTapestry, Bloomerang, Salesforce, or other fundraising software

  • Experience using a marketing calendar to manage web and social media content

  • Strong background in administrative procedures and use of Microsoft 365 applications

  • Demonstrated experience using design software such as Adobe Creative Cloud apps or Canva

  • Experienced in record-keeping and document retention

  • Excellent verbal and written communication

  • Experience working with the public, volunteers, and staff in a pleasant and effective manner

  • Present a neat and professional appearance

  • Appreciation and connection to the outdoor world is preferred

  • Training, work experience or education in a nonprofit and/or science-related field is helpful


Job Requirements:

  • Completion of a Background Check

  • Possession of a valid first-aid and CPR Certificate within the first six months of appointment

  • Possession of a valid California Driver’s License and access to reliable transportation

  • Available for occasional evening and weekend work

  • Ability to stand and sit for hours at a time

  • Environment: Work is primarily performed in close proximity to wildlife and resident animals. Some event work may be in an outdoor environment with adverse weather conditions (heat, cold, wind, rain) etc.

  • Physical: The primary and essential functions of require sufficient physical ability and mobility to work in an office and outdoor setting; to stand or sit for prolonged periods of time; to stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.

  • Vision: See in the normal visual range with or without correction; vision sufficient to read computer screens and printed documents; and to operate assigned equipment.

  • Hearing: Hear in the normal audio range with or without correction.
