Administrative Manager
Administrative Manager
Under the supervision of the Executive Director, the Administrative Manager oversees the day-to-day administrative operations of the Nature Center office including office management, payroll processing, human resources, procedural documentation, bookkeeping assistance, program scheduling, facility rentals, and other operational activities. The Administrative Manager ensures that the office runs smoothly and efficiently, supporting both administrative tasks and employee needs.

Hours: 40 hours per week (full-time)
Rate Range: $27 - $31 per hour (non-exempt)
Schedule: Monday through Friday, between the hours of 8 am and 5 pm, with occasional weekend and evening hours expected.

Job Duties: Duties may include but are not limited to:
Office Management (22-24 hours/week)

Receives, sorts, and secures incoming mail
-
Facilitates training, operation, and troubleshooting of EYNC office equipment, including copier, fax, phones and voicemail system, computers and accessories, and AV for presentations

Monitors use and inventory of facility keys
- Oversees Assembly Building rental bookings and works with public/organizations to support booked meetings, retreats, and events
-
Manages weekend staff scheduling
-
Maintains and files organizational documents such as contracts, agreements, insurances, etc.

Liaison with Sacramento County IT Services and with Sacramento County Regional Parks for county parks passes
-
Coordinates utilities services (dumpster service, alarm monitoring and service, pest control, offsite storage)
-
Oversees employee alarm codes and coordinates with Bay Alarm for employee access updates
-
Leads staff in safety training and procedures, and reports and resolves safety deficiencies
-
Maintains MSDS documents
-
Leads school program bookings and scheduling
-
Maintains current office procedural documentation and ensures processes and procedures comply with relevant policies and regulations
-
Assists Executive Director with filing, calendaring, and meeting preparation
-
Covers the front desk as needed, including opening and closing the building, greeting visitors and answering questions, promoting membership, tendering store transactions, selling parking passes, handling emergencies etc.

Human Resources (6-8 hours/week)

Processes bi-weekly payroll
-
Ensures staff time sheet completion, and tracks employee pay, deductions, PTO accrual and sick time

Calculates & enters 403(b) deductions
-

Serves as liaison with insurance companies and ensures Liability, Workers’ Comp, and employee health coverage is maintained
-
Maintains records for annual 403(b) audit and Workers Comp audit
-
Manages employee onboarding and offboarding, and any changes to wages, deductions, insurance, 403(b) or Roth, etc.

Custodian of records for Live Scan background screens
-
Leads new staff training processes
-
Oversees staff use and management of organizational passwords
-
Maintains secure, up-to-date, and organized personnel paper and digital files
-
Supervises one (1) part-time administrative support position
Bookkeeping Assistance (6-8 hours/week)
-
Works with Finance to prepare deposit log for incoming checks and to prepare weekly check payment log
-
Ensures collection of all EYNC program fees and works with finance for deposit refunds
-
Retains and secures 1099s as needed
-
Ensure compliance with State Charitable Trust and timely annual filing of Form RRF-1
-
Produces documents as requested for financial audits. Supports finance on monthly reconciliations
Miscellaneous
Assists with special events and occasional weekend and evening programs as needed
Other Duties as assigned
Job Skills and Experience:

Minimum of three years of experience in:
-
Office management at a nonprofit organization, or another relevant business (such as a financial institution)
-
Complex scheduling systems
-
-
Strong background in Microsoft 365 (Excel, Word, Outlook)
-
Experience in Human Resources is preferred
-
QuickBooks experience is helpful
-
Highly analytical with excellent problem-solving skills
-
Excellent verbal and written communication skills
-
Exceptional organizational and time-management abilities
-
Superior customer service and interpersonal skills
-
Establish good working relationships with cooperating organizations and groups in both the private and government sectors
-
Experience working in a nonprofit organization is helpful
-
Some knowledge of natural history and the American River Parkway is desired but not required
Job Requirements:

Completion of a Background Check
-
Possession of a valid first-aid and CPR Certificate within the first six months of appointment
-
Possession of a valid California Driver’s License and access to reliable transportation
-
Available for occasional evening and weekend work
-
Ability to stand and sit for hours at a time
